How Licensing works

When you purchase Track-IT Suite, a registration key is sent to you by e-mail. The registration key provided unlocks the software according to the number of licenses purchased.

One license is required for each employee using one or more Track-IT Suite component.

That is, only one license is required even if an employee uses timesheet entry tools (Track-IT light, Track-IT web edition and Track-IT Punchclock) and management tools (Track-IT pro and Track-IT pro web).

Employees no longer using any Track-IT Suite component can remain in the database without using a license. When freeing up an inactive employee’s license, his/her previous time and expense entries remain available for reporting purposes.

To find out how many licenses are currently used:

1.    Select Help, About Track-IT pro from the menu and note the number of registered licenses and the number of used licenses for Track-IT Suite. Click OK when done.

To free a license:

1.     Select View, Employees, Employees from the menu (or click the Employees button on the side shortcut bar).

2.     Select the Employee from the list who will no longer be using the software.

3.     Select [None] from the Employee uses and Manager uses drop-down boxes.

Important note:

To free a license, both ‘uses boxes’ must be set to [None].

To transfer a license from one employee to another:

1.    Select View, Employees, Employees from the menu (or click the Employees button on the side shortcut bar).

2.    Select the Employee from the list who will no longer be using the software.

3.    Select [None] from the Employee uses and Manager uses drop-down boxes.

4.    Select the new Employee from the list who will now be using the software.

5.    Select the appropriate tool(s) from the Employee uses and Manager uses drop-down boxes.

Important note:

The use of both the Employees uses and Manager uses boxes only uses one license. Therefore, to transfer the license to another user, both ‘uses boxes’ must be set to [None].
