Microsoft Project Server Link
Use Track-IT pro to retrieve (or link) project and task assignments entered and saved in Microsoft Project Server. When a link is created in Track-IT pro, employees can then use Track-IT light or Track-IT web edition for timesheet entry. After the employees submit their timesheets, a manager can synchronize the time back to Microsoft Project which updates the actual hours worked in Microsoft Project Server. Here are the basic highlights of this link:
Ü Use Microsoft Project to create a Resource Pool to assign employees to tasks, and to create project plans.
Ü Use Track-IT pro to import and create records for employee, task and project information entered in Microsoft Project Server.
Ü Use Track-IT light or Track-IT web edition for timesheet entry. After the employees submit their timesheets, a manager can send the time back to Microsoft Project which updates the actual hours worked in Microsoft Project Server.
Important notes:
Ü Please note that the Microsoft Project Link and the Microsoft Project Server link cannot be used together on the same database. Only one of these can be used. For Example, if you are using the Microsoft Project Link then you cannot use the Microsoft Project Server Link within the same database and vice versa.
Ü If you are currently using the Microsoft Project Link and you wish to start using the Microsoft Project Server Link then a New Database must be created.
Ü It is not recommended to change the authentication mode in Microsoft Project Server from Windows to Microsoft Project server authentication after the Microsoft Project Server link has been created.
Ü Track-IT does not submit actual Start and End times when submitting time entries. Only the total time is submitted.
Please follow each step to ensure the link is created correctly.
Step 1 – Setting up Microsoft Project Server
1. Select Tools, Database Options.
2. Select the Microsoft Project Server Link tab.
3. Select the method of authentication that your Microsoft Project Server uses. These methods include:
· Windows Authentication
· Microsoft Project Server Authentication
4. Enter the URL to your Microsoft Project Server.
5. Enter the User Name and Password.
Important note
If you are using Windows Authentication, the User Name and Password should be your Windows User Name and Password. However, if you are using Microsoft Project Server Authentication, the User Name and Password should be your Microsoft Project Server User Name and Password. For more information, refer to your Microsoft Project Server documentation.
6. Select Apply, click OK.
Important note
Before moving to the next step you must ensure that you have added a Microsoft Project Server Account in Microsoft Project under Tools, Enterprise Options, Microsoft Office Project Server Accounts. After which you will be prompted to connect to a Microsoft Project Server Account each time you access Microsoft Project.
Prerequisite
Ü The following steps require that Microsoft Project Server be open and running.
Step 2 – Synchronizing the resource pool
1. Select Tools, Microsoft Project Link.
2. Select the Project Server Link tab.
3. Select Synchronize resource pool.
4. Click OK.
Step 3 – Synchronizing the Projects and assignments
1. Select Tools, Microsoft Project Link.
2. Select the Project Server Link tab.
3. Select Synchronize Projects and assignments.
4. Select the Project(s) from the Project Name list that you wish to synchronize.
5. Click OK.
Step 4 – Sending approved time entries to Microsoft Project
1. Select Tools, Microsoft Project Link.
2. Select the Project Server Link tab.
3. Select Send approved time entries to Microsoft Project.
4. Click OK.
